This trip calculator has a defined scope. Enter travelers, days, nights, travel per traveler, room per night for the group, food per traveler per day, local transport per day for the group, activities per traveler and a reserve percentage. It multiplies these amounts by their units, adds five cost components and applies the reserve to that subtotal. Divide the displayed total by travelers for the average share. Visas, taxes, tips, baggage, insurance and exchange-rate changes have no separate fields. Keep applicable items in an outside-the-tool ledger before calling your personal budget complete.

The model is a planning aid, not a quote from an airline, hotel, bank or insurer. Decide what is in scope: door-to-door trip costs, not just expenses after landing. Record prepaid and pay-later items in the same ledger while retaining their payment dates. An amount that has been quoted but not booked is an estimate; an amount on a receipt is a committed cost. Keeping those labels visible helps when a fare changes. It also makes a later decision possible: alter the dates, shorten the stay, choose a different route or defer an activity without pretending the savings came from a vague ‘budget travel’ rule.

Define the unit of every entry before adding it

Put a unit beside each figure. Travel and activities are entered per traveler, the room rate covers the group per night, food is per traveler per day, and local transport is one amount for the entire group per day. A group flight quote should be divided by travelers before entry; multiply activity tickets into a per-person figure where relevant. The calculator has no field for visas or insurance. Check the first and last day rather than assuming nights and days match. Five nights often span six calendar days, but a late arrival may change actual food spending. Look beyond the fare: rail to the airport, an overnight connection or a transfer can alter the comparison. The tool accepts one travel amount per traveler; it does not provide a separate baggage, tax or transfer input. Keep additional applicable charges in a clearly marked ledger rather than assigning them silently to an unrelated field. An itinerary that arrives late may also change the lodging nights. Group activities may include admission, equipment hire or a reservation fee. Remove an included activity from the extras line. Documents, health and payment costs are itinerary-specific

A required document can cost money and time, but this calculator has no visa field. Record any applicable amount outside its displayed total. Do the same for an insurance quote you actually select, and read the policy exclusions separately from its price.

The CDC advises checking destination guidance and consulting a healthcare professional about appropriate vaccines or medicines before travel; its guidance is framed for US travelers and is not a substitute for individual medical advice. One entirely hypothetical two-person example

If a separate document or insurance payment later applies, add the verified amount outside this result; the tool's reserve was calculated only on €1,840. The per-traveler average is not a promise that both travelers will pay equally. Do not report unused reserve as money actually spent.

Test what would change the result

The tool's comparison raises both days and nights by one. In the hypothetical trip, one more room night adds €90. The added day contributes two food allowances of €30 plus €20 of group local transport, or €80. The revised subtotal is €1,840 + €90 + €80 = €2,010. At the same 10% reserve, the scenario total is €2,211. This explains why a later return can cost more than the visible fare difference; it does not predict a real ticket price.

Make a second scenario for the largest uncertainty: a different lodging quote, a changed transport basket or an activity you may skip. Keep each quote dated and note cancellation terms. The European Commission describes EU package travel rules and explains that protection depends on whether a booking qualifies as a package or another arrangement. If that distinction matters to your trip, check the actual contract and current rules rather than assuming that buying two services together guarantees identical rights. Price is one axis of a decision; flexibility, timing and support can be another. Do not give those qualities a fake euro value merely to fill the calculator.

Turn the plan into a live trip ledger

Before booking, save a dated list of each entry, its unit, currency, source and status: quoted, paid, refundable or uncertain. After each purchase, replace the estimate with the receipt amount and remove charges already absorbed into the package or basket total. Check that selected baggage, accommodation extras, transfers and activity reservations still align with the actual dates and number of people. Review documents and health preparation early enough to act on them. If a category is not applicable, record zero with a reason rather than leaving a blank whose meaning you will forget.

During travel, track actual spending separately from the original planned ceiling. A reserve is useful precisely because it can remain unused; do not spend it just because it appears in the total.
